Managing your voicemail messages and preferences using Cisco Unity

You can easily perform various functions on your voicemail account using the Cisco Unity web interface. This includes setting the most common preferences, as well as listening to and managing your voicemail messages.

Start by logging in to https://myvoicemail.northwestern.edu with your NetID and NetID password. Please note the following regarding browser usage:

  • Windows
    • Chrome, Firefox, and Edge are fully supported.
    • There are display issues using Internet Explorer that make it incompatible with Cisco Unity.
  • macOS
    • Chrome and Firefox are fully supported.
    • Although many functions can be performed using Safari, it cannot be used to play voicemail messages, or to record greetings and names. For this reason we recommend using Chrome or Firefox for all your voicemail functionality.

Record your personalized voicemail greeting

You can save a personalized greeting on your voicemail, as well as record a temporary out-of-office greeting. If you don't record personalized greetings, Unity will simply read your name as it appears in the directory when it answers a call for you.
  1. Click Settings > Greetings > View Greetings
  2. Select the greeting type (Standard, Alternate) you want to record
  3. Record your greeting
    1. Under Callers Hear, click the My Personal Recording radio button
    2. In the recording panel, click the circular Record button and record your greeting

    3. When you've finished recording, click the square Stop button
    4. To play your recorded greeting, click the triangular Play button
  4. Adjust the Status as appropriate
  5. When you're done, in the upper left of the screen click Save

Change your voicemail PIN

You have the option of listening to your voicemail messages on your computer or on your phone. To listen to messages on your phone, you need to enter a PIN to access your voice mailbox. If you've forgotten your voicemail PIN, you'll need to use the Online instructions to reset it. Note that your PIN must be six digits long.
  1. Select Settings > Passwords > Change PIN
  2. Enter and confirm your new PIN, then click Save
Note the following PIN requirements:
  • Your PIN must be six digits long.
  • Your PIN cannot be a series of repeating numbers or a sequence of numbers (e.g., not 111111 or 123456).
  • Your new PIN must be different from your old PIN by at least one number.
  • You need to change your PIN once a year. You will receive a message 15 days before expiration reminding you to change it.

Record your name

By default, the voicemail system reads your name as it appears in the directory when a caller reaches your voicemail box. You can personalize your recorded name.
  1. Click Settings > Preferences > Personal
  2. In the recording panel, click the circular Record button and record your name

  3. When you've finished recording, click the square Stop button
  4. To play your recorded name, click the triangular Play button
  5. When you're done, in the upper left of the screen click Save

Listen to and manage your voicemail messages

  1. Click a message to select and expand it. If the audio message was able to be transcribed, its transcription will be displayed.

  2. To play the message, click the Play button Cisco Unity play button. Note that this functionality doesn't work with the Safari web browser on macOS.
  3. To download an audio file of the message to your computer, right-click the message.wav link. Alternatively, click Forward to send the message.wav file via email, whether to yourself or to someone else.
  4. To delete a message, click Delete. The message will be moved to your Deleted messages list. After seven days, a message in this list will be automatically deleted from the system. To save a message in your Deleted list, select the message and click Undelete; it will be moved back to your Inbox.
    • If you have your messages automatically forwarding to your Exchange account, note that deleting a message from your Unity Inbox will also remove it from your Exchange Inbox. To save a copy of the message but remove it from your Unity Inbox, either download the message (see above), or in Exchange move it to a folder other than your Inbox.
