Sharing files and folders in Northwestern Box

The best option for sharing files is Northwestern Box. While Northwestern's email system has a 25 MB size limit on sending or receiving file attachments, the size limit of each individual file you can share in Northwestern Box is 15 GB, with virtually an unlimited quota on the number of files you can share.

Sharing with other members of the Northwestern community

  1. Log in to Northwestern Box at https://northwestern.box.com/.
  2. Click the file or folder you want to share, then click Share > Invite Collaborators.
    • In the Invite box, enter the name or email address of the person you would like to share with.
    • Modify the Invitee Permissions as necessary. For a list of different permissions levels, click the Learn More link next to the permissions drop-down menu.
    • Once you've entered all of your collaborators' email addresses, click Send Invites and everyone will receive an email notification indicating that content has been shared with them.
Once you have invited collaborators, you and they will be able to upload and share files in the folder(s) you've shared.

Sharing with people outside Northwestern

  1. Ask your collaborator to set up a free account at http://www.box.com using their personal email account. Make sure they tell you what email account is associated with their Box.com account.
  2. Log in to Northwestern Box at https://northwestern.box.com/.
  3. Click the file or folder you want to share, then click Share > Invite Collaborators.
    • In the Invite box, enter your external collaborator's email address.
    • Modify the Invitee Permissions as necessary. For a list of different permissions levels, click the Learn More link next to the permissions drop-down menu.
    • Once you've entered all of your collaborators' email addresses, click Send Invites and everyone will receive an email notification indicating that content has been shared with them.
Once you have invited collaborators, you and they will be able to upload and share files in the folder(s) you've shared.

Sharing via a Shared Link

If the person you want to share with doesn't have a Box account, you can create a Shared Link. With Shared Links, you can leverage options including link expiration, limiting who can access the link, disabling downloads of content, and creating a custom URL for the link. Shared Links can be used to share with outside collaborators who do not use Box, or to send a document to another Box user with limitations on what they can do.
  1. Log in to Northwestern Box at https://northwestern.box.com/.
  2. Single left-click the file or folder you wish to share, then click on the Share > Get Shared Link.
  3. In the window that appears, you will see a Shared Link which can be copied and sent to others to view the folder/file and download its contents.
  4. Alternately, you can send an email with the shared link by entering the recipients' email addresses in the Email Address box and clicking the Send button at the bottom of the window.
  5. By default, only individuals with Northwestern Box accounts can view the files via the link. To change who can view the files via the link, click on the blue text below the Shared Link and select the desired Access Type.
  6. To modify the Shared Link's settings, click the Gear icon above the Copy option. This gives you the option to create a custom URL path for the link, set an expiration date for the link, or enable and disable downloading for the content of the link. 
  7. Click Save to go back to the main Shared Link page.
